How to Transport Table Linens for a Wedding

When it comes to linens, presentation starts long before they’re placed on the tables. To keep your linens crisp, clean, and wrinkle-free during transport, here’s what we recommend:

• Lay each clean, pressed linen on a flat, clean surface.
• Stack them neatly, then roll them around a long cardboard tube (like the kind used for wrapping paper).
• Once rolled, secure your linens by wrapping plastic wrap around the middle and ends to prevent unrolling and creasing during transport.
• Store your rolled linens in clean, dry bags or bins – never in boxes with sharp edges or exposed cardboard that can snag the fabric.

What Linens You’ll Need

Depending on your layout and style, plan for linens for:

• Guest tables
• Cocktail tables
• Buffet or food stations
• Dessert table
• Gift or welcome table
• Sweetheart or head table

You may also want to include linen napkins, table runners, overlays, table skirts, or chair covers depending on your overall design.

If you’re using farmhouse tables, consider skipping full linens altogether and instead opt for a coordinating table runner and napkins to highlight the natural wood finish. You’ll always hear me say this: “Make sure your linens are floor-length!” Please, spend the extra $2–$4 per table to get linens that reach the floor, it makes all the difference in your overall look and photos. And one more thing – do not let your caterer order your linens. Ask your venue to confirm if their linens are truly floor-length (spoiler: they often aren’t).
